Western Brown Band Boosters
The boosters meet the first Thursday of every month at 7 pm in the band room unless otherwise noted. Next meeting will be held on Thursday, September 8th.

Meeting October 8, 2015

· Saturday Oct 10th perform at Lebanon at 3:45.

· Saturday Oct 17th perform at Mason at 4:00.

· Christmas Parade will have a few practices.

· Spring trip will be May 13-14, 2016. Band fees need to be paid before students are allowed to go. In November will be receiving brochures with final details and costs.

· Winterguard/Winter percussion circuit fee will be $700 each, total of $1400.

Paul

· Senior night Friday October 23rd and band will perform during football game.

· Band Banquet will be Thursday November 12th from 6pm – 8pm. Band Boosters will provide the Chicken. Motioned by Boosters to pay for chicken, only had 2 voting parents present at time of voting. Everyone bring either a side dish or dessert. Julie will have a sign-up sheet.

· November Fundraiser (both general fund) – Avon and Quarter Auction (verify with school Friday November 21st for quarter auction). Will advertise with flyers and ad in paper. We will need help getting donations and working at quarter auction.

· December Fundraiser (general fund) - Elementary School Dance on December 11th from 7pm to 9pm.Julie will have flyer handed out week before and a one call the week of dance.

· January Fundraiser (general fund) – Access to the city, receive books mid-December for students to sell during holiday break. Will also need help selling books at Kroger, setting up tables at both entrances. Sell for $20 profit $10. Don’t have to pay for books we don’t sell.

· 7 Bands signed up for invitational and only one has paid. Last year 2014 had 14 bands. Motion to cancel invitational due to cost. 1st Motion – Kathy Swartz, 2nd Motion – Mary Caudill.

· Hayley Beusterin Instructor at Band Camp. Paid for 1 week $400. Helped 2nd week of Band Camp and 2 additional rehearsals. Motion to pay for 2nd week $400 and 2 additional rehearsals $30 each. Total of $460. 1st motion – Taressa Ingle, 2nd motion – Mary Caudill.

· Motion to pay no mileage for instructors. 1st Motion – Mary Caudill, 2nd Motion – Tammy Sutter.

· Transportation Fee needs to be paid before Friday 2:30 or cannot participate in competition.

· Will sign up for Lebanon competition October 10th due to cancelling ours.

· Requested Boosters to pay for one Hoodie for Emily Stith. Since Emily did not want reimbursed for paint. Painted wagon to carry equipment onto field. Mary Caudill 1st motioned, Taressa Ingle 2nd motioned.

· Need to order 3 dozen gloves, total cost $85.00. Mary Caudill 1st motioned, Taressa Ingle 2nd motioned.

· Percussion instructor staying rest of season approve new salary. Season contract $30.00 a session, will be 25 sessions, total salary will be $750.00. Laura Scheick 1st motion, Taressa Ingle 2nd motion.

· Students need a 3 ring notebook to hold music pages by Monday August 10th.

· Band Camp Dinner will be provided on Tuesday 8/11 (Pizza) and Thursday 8/13 (Cheese Coneys).

· Prop structure almost done.

· T-shirts are in. Students will wear parent preview night.

· Parent preview night is Friday August 14, 2015 at 6:30. Need cookie donations for that evening.

· Parents can order t-shirts $8.00 S-XL, $10.00 2X - 5X, Hoodies $19.00 S-XL, $21.50 2X-5X, writing is $5.00 extra.

· Parents can sign up for fair booths and sign up for Invitational at parent preview night.

· September general fundraiser is Pepsi Booths at fair. We will have two booths in same locations as last year. Will setup on Sunday September 27th, 2015. This is the largest general fundraiser we do. Lots of help is needed for the week!

· October general fundraiser is Invitational October 10, 2015 at 4:00 pm.This is also a large general fundraiser. Lots of help is needed!

· November fundraiser haven't decided yet.

· December general fundraiser is Elementary school dance Friday December 11th. Julie checking dates with Elementary School for December 1, 2015 and March 11, 2016.

Tim

· August general fundraiser is Chick-fil-a (Eastgate) on Monday August 17th at 5:00 to 8:00 pm. Earn 20% profit from sales. Julie will pass out flyers to students at band camp. Don't need flyer but need to mention your there to support Western Brown Marching Band.

June 4, 2015 Meeting

Tim

· Amazon Smiles program for fundraising and will be sending out a link. We get ½ percent from purchases. There is no limit of amount we raise. So let anyone you know use the link.

· Square/Paypal credit card programs for accepting band member payments. There is no fee for equipment. There is a 2.7% charge on each transaction. We will use this for paying dues, fair, invitational, blue grass, etc. This will give us more selling opportunities for people that don’t carry cash. We will need to set a minimum purchase since transaction charge.

  • 2014 taxes were filed with the IRS.

May 7, 2015 Meeting Notes

Julie:

  • Approve the purchasing of prop materials (which include the glasses and hats). The hats and glasses will be about $250 and the prop will be determined by Paul, Nick and Tim. Hats and glasses approved by officers.
  • Memorial Day practices begin next week on Tuesday, May 12th and run until 4:30. The other practices are the 14th, 19th and 21st and also run until 4:30.
  • Any new parents who want to be able to ride the bus with the band and/or drive the truck needs to get fingerprinted over the summer and send it into the district office. The truck driver will also have to turn a copy of their license in to the district office.
  • The music is almost done (except for percussion which isn't written until the wind parts are done) and it's sounding really good! I will start writing drill as soon as school is out and have that done before the start of camp.

Paul

  • May Individual Fundraising – Little Caesar’s. Money and order forms Tuesday May 26th 7:00pm - 7:30pm in the band room.
  • Prep for Memorial Day Parade/Ceremony. Make sure your child is drinking plenty of water and has eaten breakfast the morning of the parade/ceremony. We will have canopies/water/fans set up as a cooling station.
  • June General Fundraising – Pike Township litter pick up. We will meet at the Pike township building. Date to be determined.
  • July Fundraiser – To be determined.

  • April Fundraiser – MaryKay goes to General fund. Order forms and money (checks made out to Western Brown Band Boosters) due on April 28th. Paul will send email what time to drop off in band room.

  • Upcoming fundraisers – None for Dec. We have a lot of candy left over trying to come up with ideas to sell before candy expires. Kroger plus card – Kroger needs our IRS letterhead to add our organization.
  • Championships – Saturday Nov 8th perform at 3:15 pm at Shays stadium Norwood.
  • BOA – Thursdays Nov 13th perform at 9:15 Lucas Oil Stadium Indianapolis. Julie and kids will be leaving the school at 7:30am to head to Indianapolis to watch the bands before they perform. Need to find out with Julie about food situation (lunch/dinner) for kids not staying the night at BOA. Need snack and water donations.
  • Winter guard/Percussion/Winter Drumline – Need more information from Julie.

Band fees will need to be paid in full before students can participate in these activities. Need to find out who will drive the truck with equipment.

  • Dues /contracts for winter guard/transportation fee - Need to find out with Julie fees and if any additional transportation fees.
  • Marching band dinner/awards – Thursday Nov 20th from 6pm to 8pm. Potluck style, please bring a dish or a dessert. Chicken and drinks (water, lemonade, and tea) will be provided.
  • Sponsorship pamphlet for 2015 season – new design for pamphlet and will start handing out to sponsors in January and February 2015.

· Treasurer Report on General fund and debits/credits.

  • Sept 21- Sept 27, 2014 Fair Pepsi Booth profit $3,481.51.
  • Oct 11, 2014 Bluegrass concert profit $116.02
  • Nov 1, 2014 Western Brown Invitational profit $2, 785.62 but will be lower have outstanding bills concession usage, hotel room bills for judges 2 rooms 1 night, our supply of candy, slim jims, nuts, snacks, etc. Used in the concession.

· Upcoming bills – Dec 21st Instrumental bill this will be 4th installment of 5 on five instruments.

· Farrell Incorporated in Georgetown will be filing our 2013 taxes for $200.00.

For 2014 taxes would like to file first of the year 2015 with no extensions.

  • BOA patches, senior items, and dvd expenses – need to find out with Julie

  • Scholarship funds for next year - will start in January handing out to businesses for scholarships.

The Western Brown Band Boosters is a Non-Profit Organization, with the intent of providing support for the Western Brown Band. All fund raisers, income generated, and donations received, are strictly in support of the students who are in the band.
